A railway infrastructure operator managed dozens of workshop tracks, sidings, and specialized equipment through Outlook calendars. Orders were created manually, confirmed by email, and tracked in a spreadsheet.
The system did not scale. Overbookings were only avoidable through tedious manual checks — and still happened.

Digitize the full order process: inquiry, quote, confirmation, availability check, pricing. With guaranteed consistency — no overbookings, even under concurrent requests.

Custom order management app on PayloadCMS as the app framework. Customer dashboard for user invitations, requests, and quote acceptance. Admin panel for order creation, management, and pricing.
Core component: integrated booking logic that atomically checks track and equipment availability when each order is created. Conflicts are detected and blocked automatically — overbookings are impossible by design.

Result
Order process fully digitized. No more overbookings. Customers manage requests and quotes independently through their dashboard. The internal team spends meaningfully less time on coordination.
